I've got some wonderful news about this. I double-checked my schedule, and it turns out that this takes place the first weekend of my spring break. Since my parents would be flying me home anyway, I priced out a multi-city itinerary (Rochester to San Diego, San Diego to Dayton, Dayton to Rochester) and found that the entire package would cost $340 with taxes and fees. The upshot of this is that my parents are willing to pay most of it, leaving us with something like $150, perhaps a bit less, for the flight. Between what we have collected thus far for this and the remaining maximum I am willing to donate, we seem to be just about there.
Here's a link with a search for the flight, with some prices listed. Not sure if this will stay valid long term.

This is excellent news.
I just deposited a cheque today. It should clear early next week, and when it does I'll make a donation. Exactly how much is left to cover? I may be able to close the gap myself, but even if I can't I'll hopefully be able to take us some of the week.
We definitely need to start planning for this, big time. I am going to be super busy for about the next 36 hours (desparately trying to get a conference paper ready before the deadline), but after that I'll have a few days of breathing space before I need to start work on putting together some slides of my own for another conference I'm speaking at at the end of next week. I'll dedicate those days off to helping get the ball rolling on our preparations for this.
We should make sure that, rather than just focusing on CLLARE, we also talk about CSTART a bit – outline our social contract and design philosophy and talk about how we envisage things working in the future, with regards to distributing authority and making decisions: are we going to vote on things, if so what sort of infrastructure will we need, and what are the potential difficulties, etc.
We should also start to think about how things will work with regards to incorporation. While obviously the core 5 here should be initial directors, we will eventually need "proper" people in these positions, and some of those positions, e.g. secretary and treasurer, may require experience/qualifications (with regards to making sure all our legal obligations as a 501(c)(3) are filled) that none of us really have. Should we start networking at SpaceUp looking for people who might make good board members? Remember that the bylaws will be instated by the initial directors, us, so we can make sure that the people who fill these rolls are fairly constrained in their freedom – we're not handing over the keys to CSTART to these people, just letting them take care of the administrative work involved.
Lots to do! This is an exciting time for us, SpaceUp could be a huge break.

Exactly how much is left to cover?
Tickets: $150
Registration: $75
Promotional materials, printing, etc: $?
Lodging: $54 (three nights, cheapest hostel I could find that is close to everything)
Lets say perhaps $300 total. Of course, there's also food expenses and such, but I can probably pay for that out of pocket if necessary.
We currently have received $128 in donations for this, and the current scheme with the matching donations has me matching the $28, but I can probably spare as much as $150 if necessary. I'd rather not spend that much, since I am a poor college student with limited income, but I can if necessary.
That brings us to $278, so we're only around $20 short from what I take to be the minimum we need to make this happen. Let me reiterate, however, that I would rather not be sinking $150+ of my far too limited money into this if other people are willing to chip in a bit more.

More good thoughts. I would agree that we may need some people with actual experience for this. I would agree that there might be people at SpaceUp who would make good board members, though I wonder how appropriate it would be to bring in people for those positions who haven't first participated in our effort in other capacities. Any idea what standard practice is in the non-profit world? Also, we may want to look at some of the head people from various Friends of CSTART organizations, unless there is some reason we wouldn't want organizational overlap with them.

Alright, I will make a US$20 donation sometime early next week and then we are, at least, over the line. I understand fully about you not wanting to have to spend more than you need to, though, so we'll keep plugging this fund raising drive (I can probably find time to publish a blog post about it in the next few days) to take as much pressure off you as we can. Depending on how things go I may be able to make another small donation before the date for SpaceUp.

I would have no objection to us sharing organizational overlap with people like Open Luna at all, my only concern would be that those people may simply not have the time to take on a second board position, especially if it is of the kind that involves a fair amount of ongoing work (e.g. treasurer).
There is a website called idealist.org which has listings of people who are willing to work as volunteers for non-profits. I haven't checked it out in detail yet, but it is something to think about.

Okay, I just registered and my mom bought the plane tickets today. I hope no one minds. The price on the flight was going to go up, and it looked like we had decided for sure that we would make this happen, so I took a little initiative.
