I'm not sure this is the ideal place for this, since they aren't really a similar organization, but they are relevant and could help us meet similar organizations, so I thought I'd mention them here anyway. Besides, I couldn't find a better place to post it on the forums.

Basically, SpaceUp is a space "unconference" or "BarCamp". It's a space conference where all attendees are expected to participate and contribute, and attendance is limited to 200 people. It is being organized by the an Diego Space Society, a chapter of the National Space Society. It will be held in the San Diego area sometime in spring 2010. I think we should send somebody if we can.

This is a great find, we should definitely try to have a presence there if possible.  San Diego is in California, right?  I seem to recall us having someone there, let me check the member list…

Random note/thought:  This combined with the conference that OLF are organising in Canada for 2010 makes me wonder if when it comes time to hammer out the list of legitimate expenses in the bylaws, we should make an allowance for sending designates to conferences.  We'd need some kind of system for figuring out who to send, since we wouldn't be able to afford to do it for more than one or two people.

Yes, preferrably we will have to select someone who is a regular and lives close by.

Which makes me think I won't be going to these conferences anytime soon :(

SpaceUp is only a little more than a month away, now.  It's time we really started thinking about this seriously.  There is a non-trivial risk of them running of out positions for talks in the near future.

I think it's obvious that it would be incredible helpful to the future of CSTART to get there.  Our CLLARE Overview Document is starting to look really good – given one month we could make it really slick – have all our mass and cost estimates worked out, 3D renders of all the core hardware, everything, a really professional piece of work.  If we could get 50 or so copies printed out and bound and have someone hand them out at SpaceUp after giving a talk on CSTART/CLLARE, it would completely shift CLLARE from a small project by a group of amateurs to a serious community effort with experts and industry insiders on board.  I think it would be hard to overstate the potential impact of presenting CLLARE at SpaceUp.

So, realistically, can we do this?  Out of our 5 core members, who lives the nearest to San Diego and is free in late February?  Once we've found that person, we need to figure out how much it would cost to send them there (conference registration, airfare if needed, accommodation if needed) and think about our ability to raise that much money in the space of about a month.

This is definitely a serious event that we don't want to miss out on. I think that we should plan on not being able to send someone to the meeting so our focus should be on producing quality material that can be handed out.

  • Hard copies of the overview document
  • Glossy 8″x11″ prints of our most current concept renders
    • Can be easily done at any store
  • Tri-fold fliers with all contact information and brief overview
  • Narrated Powerpoint slideshow
    • If we can't be there in person we should have something like this that can be put on screen in front of an audience.

Pulling this off could be THE turning point for this project.

I'm standing by words right now, but I may be moving to Southern California later this year. Obviously too late for 2010, but maybe for 2011.

As much as it saddens me, I have to agree with Rocket that it probably is best to plan on not sending someone.  The chances of our being able to afford it are slim.

As Rizwan mentioned in his email to all of us, Chris Radcliff from San Diego Space Society seems quite keen on CSTART, and on SpaceUp.  Maybe we shold approach him about distributing stuff on our behalf?  We could send the current version of the Overview Document as an example of what it would be and then aim to have something great ready by SpaceUp.  We could perhaps also make a < 5 page overview of CSTART (basically containing the gist of the Mission Statement, Social Contract and Design Philosophy) for distribution.

We should certainly be able to afford to reimburse Chris fully for printing costs if we all chip in.

What do people think?

Of course, if anyone has any plans on how we could get a physical presence there, it would be totally awesome, so do speak up.

Or, Chris can contribute and consider himself a member to CSTART. Then we would have a member in the area :) After all, this is open source and open to all.

Otherwise, I agree about creating content and seeing if we can somehow get it distributed.

I think we really ought to send someone if we can find a way to. I'm accross the country from there, but if we can come up with the money for plane tickets, I'd happilly volunteer.

If we can't send someone, we ought to try and recruit Chris.

If that fails as well, I would agree that getting our promotional materials and such distributed is the best alternative, unless we can have a meaningful virtual presence by way of Skype or the equivelent.

Can any one get an upper bound estimate on the cost of flying brmj from NY to San Diego?  I'd do it myself, but I don't know the names of any budget airliners in the US, or even if there are any budget airliners in the US.

$240 (including tax & fees) is the cheapest that I found from Rochester, NY to San Diego. The flight leaves on the 26th and comes back on the 28th (overnight). We would need two nights in a hotel.

For scheduling purposes, I will be free starting in the early afternoon on that Friday. I have a class that gets out at noon. I may be able to get out of it if I talk to the professor, but it would be better for that to not be an issue. There look to be flights that would allow for that for just a little more, fortunately. As for hotel rooms, we have some lower cost options. I have very low standards and a student ID, making a variety of cheap hostels an option.

If people support this plan, perhaps we could set up a separate donation drive for the plane ticket, with the policy that if we don't get enough or have excess, it goes to the general account. What does everyone think?

Yeah, I've got an account, though I've only ever used it to donate to the project, so there may be a little learning curve. How do you suggest I proceed? Chipin again?

ChipIn is super easy. You pretty much just enter your PayPal username and it will link it up.

As for the target Somewhere in the $400 range should cover airfare, lodging, and print materials. Maybe a CSTART polo shirt would be a nice addition.

Airline tickets get more expensive the closer you get to the travel date so it is advisable to procure the funds sooner rather than later.

It looks okay to me. One critique is that the title is too long so that one can't read the entire thing. I also recommend extending the deadline otherwise it will drop dead and you will have to create a second one (as I had to do for the non-profit ChipIn).

Edit: looks good now.
